PACKAGE OVERVIEW

Your document automation solutions may be comprised of all or parts of our core solutions package, which includes a generous set of tools to aid with legal document production and to promote best practices for using Word.

No single system uses all of the tools. As part of our initial setup service, we consult with you to select the tools that apply to your practice and configure those tools for you. A non-exhaustive listing is as follows:

  • Customizable Ribbons

    You can build your own version of the Adaugeo ribbons to best meet the needs of your users. Your ribbons can blend our tools, Word features and any custom Word macros you already have.

    Ribbon customizations are done via database settings – no XML or macro programming is required for routine maintenance.

  • Adaugeo Numbering™

    The entire Adaugeo Numbering™ suite is bundled with Adaugeo Pro™. See our Legal Numbering page for details.

  • Universal Document Styling System

    A styling system is a "must have" if you wish to use Word beyond the typewriter. Our styling system includes a generous set of tools to make it easy for users to follow firm standards and harness the power of Word.

    For firms not requiring a styling system, our solutions can be adopted by licensing Adaugeo Numbering™ and/or Adaugeo Lite™ as separate addins.

  • Tools to create documents from shared templates and precedents with integrations with Outlook and your firm authors database.

  • Tools to add and remove graphics and stamps – letterhead, logos, graphical signature, conformed signature, acknowledgement of receipt, etc.

  • Tools to update firm logos and letterhead with option to run those processes automatically if your firm letterhead contains lawyer names.

  • Adaugeo Glossary - a shared tool to insert from an unlimited library of “inserts” (and in a way that is easy to maintain and avoids problems associated with Word's building blocks feature).

    Glossary libraries always contain a generous assortment of signature tables for legal documents. Other common uses include preformatted style of cause, agreement proceedings, stamps for the document body, and more. As you are in the control of the content, you can add anything you need.

  • Tools for users to use and manage private “inserts” (also in a way that avoids the problems associated with Word's building blocks feature).

  • Ribbonized Object Browser. Word’s wonderful, time-saving object browser lives on in our system as a ribbon gallery. Our ribbon version functions exactly like the legacy Word version except that it is more accessible than before, thereby encouraging users to "discover" this fabulous Word feature.

  • Tools to aid with proper use of Word fields - update, find, manage, convert.

  • Tools to supplement Word’s delicate cross-referencing feature to make it more reliable (e.g., scan a document for cross-reference errors).

  • Tools to supplement Word’s Table of Authorities feature to make it more useful and reliable, including options to create a TOA referencing paragraph numbers instead of page numbers; options to scan a document for errors in citation fields, and options to create additional documents from the citation fields such as a book of authorities.

  • Page stamp tools, e.g. draft stamp. Users with minimal knowledge of the complexities of Word sections can effortlessly insert stamps into headers for whole document or selected sections.

  • Automatic document footing for document management systems.

  • Tools to insert, manage and troubleshoot headers, footers and sections.

  • Tools for printing and preparing a document for printing.

    A variety of tools are available ranging from very simple to very robust. At the robust end of the spectrum, our printing tool handles the printing and all of the print preparation steps, including automatic printer selection, two-sided printing, colour printing, automatic paper tray selection, preparing track changes for printing, warning when letterhead is out-dated, ensuring that collapsed levels are included, updating footers and fields, and more.

  • Tools to convert documents to PDF. Like our robust printing tool, this tool takes care of the publishing to PDF and the pre-publishing preparation steps. Our special version for letters supports simultaneous addition of graphics and stamps.

  • Create envelope or mail label from letter. Unlike the Word feature, this tool knows if and where to place the file number, attention line and notations such as "By Courier" and it creates an item for each recipient if the letter contains multiple recipients.

  • Quick Filler (user-managed simplified document assembly). Users can define their own data sources and use our tool to populate private precedents with repetitive information.

  • Tools for document cleaning (conversion) with companion tools to aid with restyling a cleaned document.

  • Tools to insert, find and manage “stop codes”. Every law firm need stop codes. In the Adaugeo system, we call them "markers".

  • Matter-centric document storage system. Our filing system is for small firms not using document management software such as Worldox™ or iManage™. We offer tools to save new files to a client matter, and navigate client matters by name or number from all applications and the Windows file system.

  • Tools for system administrators to streamline and simplify system management.

FRENCH-CANADIAN USER INTERFACE AVAILABLE

Our dialogue boxes and ribbons automatically toggle to French if the Word installation is French.

Administrators and content developers may opt via settings to show the interface in English or French which is often desirable when developing templates or other content for both languages.

LICENSING AND DEPLOYMENT

Adaugeo Pro™ is licensed as a subscription on a "per-site" basis with the subscription fee varying depending on number of users and your choices for optional components.

As it comprises a “system” and not merely an “addin”, it takes some effort to configure the system to meet each firm’s unique requirements. For the first year only, an initial setup fee applies to cover our time for services to implement it.

In sum, we first consult with you in depth as to setup decisions and whether to enable optional components. We then set it up for you, train your people in routine maintenance, and train your in-house trainers. For small firms without in-house trainers, we deliver the end user training or connect you with an approved Adaugeo training contractor.

SYSTEMS MAINTENANCE AND CUSTOMIZATION

Our solutions are highly customizable through settings (both at the system level and at the user level).

Your independence is important to us. We will take on routine maintenance for very small firms, but for larger firms we prefer to train your in-house administrators. We are always here if you require us for support but do not wish to leave you dependent on us for routine maintenance.

No programming experience of any kind is required for routine maintenance of our automation suites.
